Decide where the guest encounters the box
A matchbox offered with the bill has a different role from one placed in a hotel welcome arrangement or presented at a private dinner. Define that moment first. It helps determine the wording, the presentation and how many pieces the team will need.
For a restaurant, a simple name and a small drawing of the entrance might be enough. A hotel might prefer a motif associated with its interiors. These are design possibilities to discuss, not examples of completed client projects. The most useful brief explains the atmosphere of the place in a few concrete references.
Translate the identity to a small format
Share the approved logo artwork, brand colours and any rules about clear space or minimum size. Include an image of the menu or other printed materials if the box should feel part of the same family. Tell the studio which elements must remain unchanged and where an original illustration is welcome.
A detailed crest or a fine wordmark may need a different composition at matchbox scale. Check the smallest lettering on the proof at its intended size. If you want a website address, keep it short and legible. Discuss foil or specialist paper separately so the chosen finish supports the artwork.
Plan the first quantity and possible reorders
Estimate quantities from the intended use: the number of guests at a launch, the tables served during a defined period or the welcome arrangements you plan to prepare. Separate a one-off event requirement from ongoing stock. This gives the studio a clearer basis for a quote than an open-ended request for promotional merchandise.
If you expect to reorder, agree which specifications should be retained and which details may change. Keep an approved record of the artwork, dimensions and finish. Ask about current availability and lead time for each order rather than assuming that an earlier production schedule will always apply.
Send a brief that can be quoted
Include the business name, intended use, quantity, artwork files, desired materials, budget range, destination and required date. Identify the person who will approve the proof, especially when a designer, venue manager and purchasing team are all involved.
Before payment, confirm what the quote includes: artwork, print faces, finish, packaging and delivery. Share any venue requirements or destination restrictions so suitability can be checked. Custom matchboxes remain a functional object containing matches; the design and proposed use should be considered together.
